Procedures and Templates

A Procedure is how your team does a task. A Template is the shape the result should take. Your AI reads both.

Most recurring work has two parts: the steps, and the format of what comes out. CompanyOS keeps them apart so each can be reused.

  • A Procedure is written instructions for a repeatable task, such as a weekly update, a customer handover, or interview prep. It says what inputs are needed, where to find them, and the rules for the output.
  • A Template is the shape of a result: the sections a weekly update must have, or what goes in a handover. A Procedure can link Templates.

Procedures and Templates are instructions for your AI. They don’t run code, grant permissions, send anything, or change your files.

Required Inputs

A Procedure declares its Required Inputs: what it must have before the AI produces anything, such as the client name or the reporting week. It can add hints about where each input comes from: the person in the chat, a Company File, or a connected App.

The AI should ask for any missing input rather than guess. A draft with a Missing Requirement, such as an input with no description, can’t be shared until it is fixed. store_procedure and the web editor both show the gap and how to repair it.

Personal drafts, sharing, and approval

  1. Anyone in the Workspace can write a Procedure or Template by asking their AI (store_procedure, store_template). New content starts as that person’s Personal draft, which only they and their AI can see.
  2. When it is ready, the author shares it. That sends a Share Request, which includes every Personal Template the Procedure links.
  3. An Owner reviews it under Approvals and approves or rejects it. Approval publishes it as Company content for the whole Workspace. Rejection returns it to the author’s drafts.

An Owner’s own share requests are approved straight away, and Owners update Company content directly from their AI.

Using a Procedure

In any connected AI, ask for the Procedure by name, or let the AI find it with find_procedures. The AI reads it in full with use_procedure, asks for Required Inputs, then uses your visible files, connected Apps, and its own tools to produce the result in the linked Template’s shape.

To have CompanyOS run a Procedure for you on a schedule and email the result, see Scheduled Procedures.

System Procedures

Every Workspace starts with System Procedures shipped by CompanyOS, such as Create a Procedure and Create a Template. They guide your AI through writing good content. Nobody can edit, archive, or delete them.
