Scheduled Procedures
CompanyOS runs a Procedure for you, daily, weekly, or when something changes in Recruit CRM, and emails the result to the people who need it.

A Scheduled Procedure is a published Procedure that CompanyOS runs by itself. Nobody has to open a chat. CompanyOS reads your Company Files and connected Apps, writes the result as the Procedure describes, and emails it to the Members you choose.
A Monday briefing, a weekly pipeline summary, a note when a candidate moves stage: these are good first schedules.
Set one up
Only Owners can schedule a Procedure.
- Open a published Procedure and choose Schedule.
- Pick when it runs:
- Daily or Weekly, at a start time and timezone you choose;
- When something changes in Recruit CRM: when a record moves to a stage you pick. This needs Recruit CRM connected under Integrations.
- Pick who receives it, under Members who receive this.
- Choose how it runs:
- Notify everyone: one run, and the same email goes to every selected Member.
- One run per Member: CompanyOS runs once for each selected Member and emails each their own result.
- Fill in the Procedure’s inputs, check the email preview, and choose Start schedule.
What a run does
Each run:
- reads the Procedure and its linked Templates;
- uses Company Files and the Workspace’s connected Apps to gather what the Procedure asks for;
- writes the result in the Template’s shape;
- emails it from CompanyOS (
hey@hey.companyos.cc) to the selected Members.
If the Procedure asks for an email to be prepared in Microsoft 365, CompanyOS creates a draft in the schedule owner’s mailbox for them to review and send from Outlook. It never sends from Microsoft 365. See Microsoft 365.
A run that called no tools is flagged: its content isn’t backed by Workspace data.
Manage schedules and runs
- Schedules lists every schedule. Enabled ones appear first; disabled ones stay visible for reference.
- Run now runs a schedule straight away, outside its timing.
- Disable schedule stops future runs. You can re-enable it later.
- Procedure runs lists every run, newest first, with its status and the generated briefing. Retry creates a new run for that attempt’s recipients, so they may receive the email again.
If a run fails or some recipients weren’t reached, the schedule owner gets a notice and the run shows what needs attention.
Limits
- Scheduled output is plain email to Workspace Members. There are no attachments, mailing lists, or external recipients.
- A Scheduled Procedure uses the permissions of the Workspace and the schedule owner at run time. If an App is disconnected or the owner loses access, the run fails instead of switching to another identity.
